Last Friday, the German par\u00adlia\u00adment passed e\u2011invoicing as a mandatory standard. A reason to sit up and take notice or sit back and relax \u2013 depending on how you can implement the following three recom\u00admen\u00adda\u00adtions.<\/strong><\/p>\n The law in its current form provides for a fun\u00adda\u00admental obli\u00adga\u00adtion to issue invoices elec\u00adtro\u00adni\u00adcally from 1 January 2025. Although it offers a number of tran\u00adsi\u00adtional pro\u00advi\u00adsions, it is undis\u00adputed that from this date, all domestic business invoice reci\u00adpi\u00adents must be able to receive and process elec\u00adtronic invoices in accordance with the new requi\u00adre\u00adments.<\/p>\n The e\u2011invoice is therefore coming \u2013 not overnight, but staggered over time and yet in large steps. Con\u00adver\u00adsely, this also means that companies will have to deal with incoming invoices in a wide variety of formats over a long period of time. They will receive invoices on paper, as PDFs by email, via EDI and in various e\u2011invoice formats \u2013 from Germany, primarily XRechnung and ZUGFeRD. As more and more countries are making e\u2011invoicing mandatory, a number of existing or planned inter\u00adna\u00adtional formats are being added. The first question you should therefore ask yourself is: Can our current solution for automated invoice pro\u00adces\u00adsing effi\u00adci\u00adently process all these formats according to stan\u00addar\u00addised spe\u00adci\u00adfi\u00adca\u00adtions in a common process?<\/strong> If not, you will not want to initiate addi\u00adtional \u2013 possibly manual \u2013 processes for indi\u00advi\u00addual formats.<\/p>\n Good tools for the automated pro\u00adces\u00adsing of incoming invoices can process common formats from Germany such as ZUGFeRD and XRechnung just as easily as existing or future inter\u00adna\u00adtional formats. This also includes a reliable content check. The software modules for creating e\u2011invoices are still young on the sender side and need to fami\u00adlia\u00adrise them\u00adselves first. So the second question is: Can our solution for automated invoice pro\u00adces\u00adsing also check e\u2011invoices in depth for plau\u00adsi\u00adbi\u00adlity and cor\u00adrect\u00adness?<\/strong> To put it simply: you will want to check at least ever\u00ady\u00adthing that you already check today in the future. As the struc\u00adtured trans\u00admis\u00adsion of data eli\u00admi\u00adnates potential reading errors, the checks con\u00adcen\u00adtrate more on content-related checks such as com\u00adpa\u00adrison with master data, order refe\u00adrences, etc.<\/p>\n Even today, the music in invoices also plays in the attach\u00adments such as delivery notes, material test cer\u00adti\u00adfi\u00adcates or similar. Unfort\u00adu\u00adna\u00adtely, e\u2011invoice formats do not offer any impro\u00adve\u00adment here \u2013 on the contrary, they ensure that part of the data now has to be processed in struc\u00adtured form and another part in unstruc\u00adtured form as a document.
